Certified Payroll Made Easy

Certified Payroll
If your company processes payroll for any employees working on government funded construction projects, the Davis-Bacon Act will almost certainly become a requirement for your payroll processing. It applies to contractors or subcontractors working on federally funded or assisted contracts in excess of $2,000.

To be in compliance, it is important to know what the “prevailing wage” rates are for the contract, and how to generate and submit the appropriate reports. Payroll software will play a critical role in managing and streamlining this entire process. Following are a few things to look for in a payroll solution:

Rate File
Because there are differing rates based on the locale, as well as the different classifications of work, keeping track of the appropriate pay rates is best automated using a rate file. This allows the payroll system to set up the appropriate rates by any combination of job, phase, work classification, and union. Pay rates and fringe benefits for certified jobs may be different from non-certified jobs.

Jobs which are designated certified automatically utilize certified rates.
With the rate file implemented, the payroll system selects the appropriate rates based on the defined criteria. This eliminates the need to manually key the appropriate rates and all the data entry errors and corrections that come with it. In cases where an employee may be making more than the prevailing rates, the payroll system should also be able to compare the employee’s standard rate with the defined certified rates to select the higher of the two.

Certified reporting is included in the Payroll reporting system.
A construction payroll system must be able to generate the mandatory certified payroll reports for the various agencies. These reporting tools should be integrated, making it a simple part of the routine payroll process.

If you are struggling with certified payroll requirements, we would invite you to let Intersoft Systems show you how the INTERAC Payroll System can make it easy. Our Construction Payroll system is tailored to the unique requirements of the construction trades and integrates with our complete INTERAC Construction Accounting System.

It's More Than What You See with Dual Monitors

Dual Monitors
If you haven’t already, you should seriously consider adding a second monitor to your workstation. This is one of those cases where 1+1 = exponential value. Once you have tried it, you won’t willingly go back to a single monitor. It is easy to set up and there are lots of ways it can help.

Simple Setup
The requirements are minimal and configuration is all done through the Display controls in the Windows Control Panel.

  • It does require a display controller which is capable of supporting dual monitors. This is built-in on laptops, but it may require a display adapter upgrade on a desktop PC.
  • Windows display settings allow you to customize the settings for the appropriate resolution for each display so that the desktop can be spread across the two monitors.

Real Advantages
There are lots of ways that this extra desktop resolution can be helpful. As you get used to having the extra space, no doubt you will find lots of ways to utilize it. Here are some simple examples.

  • Multiple Application Windows - Our INTERAC accounting applications allow users to open multiple windows in the software, so they can have more than one application open at a time. This makes it very easy to move between applications or functions without having to open and close screens.
  • Going Paperless – With a Document Management System it is much easier to preview a document on one screen while executing the data entry in the accounting application on the other. This eliminates the need to handle all that paper that has traditionally taken up so much space and time. (see the example picture)
  • Keeping the Calendar and Email screens readily available – Most workers are tied to their electronic calendars and email systems and the extra monitor makes it easy to keep those screens open and available all the time.
  • Presentations – PowerPoint is designed to take advantage of multiple monitors, so one monitor is the presentation display and the other shows the controls and presenter notes.

There are lots of ways to take advantage of a dual monitor configuration. Just give it a try and see for yourself.

Going Green with INTERAC
Being environmentally responsible is becoming an important part of being a good corporate citizen and there are a variety of ways that INTERAC can assist in that endeavor.

Going paperless with the Document Management System
  • Automatically generate pdf copies of payroll and AP checks instead of printing paper copies.
  • Automatically email these copies to employees and vendors instead of distributing paper copies.
  • Receive and process electronic invoices from vendors.
  • Submit electronic invoices to your customers.
  • Utilize the various notes fields in INTERAC instead of adding more paper to the archives.

Utilize the Manager Applications to share critical information with key team members
  • Job Manager provides direct access to all the Job Cost information, including documentation.
  • HR Manager provides instant access to the wealth of employee information from Payroll.
  • Equipment Manager provides easy access to all your Equipment Cost information and documents.
  • Report Manager provides each user with their own custom menu of INTERAC reports, and it is integrated with the other manager applications for easy access.

Take advantage of Direct Deposit capabilities in both AP and Payroll.
  • Simplify your payables process by using Direct Deposit (ACH) instead of printing and mailing checks.
  • Eliminate all the hassles associated with printing and distributing checks by utilizing payroll direct deposit.
  • For employees that don’t utilize traditional banking, we also offer ePayCard services.

    E-File federal and state taxes.

If you aren’t already taking advantage of these options, we would be happy to show you how. Give us a call.
